scanning services
There are three primary methods of converting files into our unique Navigator™ document management system:
Scanning paper files, using our scanning bureau and state of the art scanners
Conversion, for creating unalterable images of electronic documents
Importing, for archiving electronic documents such as word processing and spreadsheet files
We have the capability to scan all types of document from business card size to larger than A0 (we can actually scan a single document two metres wide by 20 metres long). While we scan approximately 80,000 sheets of A4 every day we are very experienced in handling precious, ancient archives too.

It does not have to be standard paper either; we can scan microfiche, film, fine art canvas, transparency, and even blue prints. During some of our property archive contracts we have scanned ancient documents, some dating back to the 16th century, still with wax seals attached.

The sds Asbuilt Group also possesses various colour and large format paper scanners and digitisers. This enables us to electronically convert any paper archive, regardless of age, individual size, condition and binding obstacles into seamless and cohesive databases. This is done without altering the original documents or causing additional wear and tear (essential for rare and priceless archives).

We have the ability to colour scan any legal map (in millions of colours) up to and over the actual physical paper size of A0. All forms of Microfiche to PC Digitisation and conversions including Aperture Cards, Combination Fiche, 16mm and 35mm roll film can also be captured on site at our offices. sds Property provide systems and solutions for every stage of the document scanning/processing life cycle and utilise rigid engineering quality assurance mechanisms to implement and carry out the work.

There are many documents that make up the entire physical folder of a working property deed and document file. In our experience, these include such documents types as:
Deeds
Land charge certificates
Land search certificates
Conveyancing documents
Red Book valuation documents
Valuation reports and schedules
Completed leases
Lease variations
Licences for alterations
Concession agreements
Store planning consents and variations
Planning agreements - s.106, other planning agreements (compound, signage, etc.)
Building control files
Tree preservation orders
Rent review memoranda
Plans – merchandise, laser survey, site layout, demise plans
Deeds of Grant and wayleaves, and all other legal documents including photographs
scanning options
Option 1
Purely scan the principal document, or key principal documents for each property folder
Option 2
As with option one, but with full folder schedule creation for every document
Option 3
Scan the entire contents of a property file, with full folder-schedule creation, and database population to scanned images including full optical character recognition to electronically ‘read’ every word on every page on every document
Option 4
Scan the entire contents of each property file, with full folder-schedule creation, and database population to scanned images, and full OCR as above. In addition, using an experienced conveyancing expert to undertake the indexing and cataloguing
Option 5
As with the previous option, but with the additional preparation of property information in a format to facilitate periodic property valuations
